Technology at work
It's no secret that small businesses are turning to technology to gain a competitive edge, but according to the results of a recent study sponsored by HP Canada and the Canadian Federation of Independent Business (CFIB), data security is a priority for many Canadian small businesses. The study, conducted by Ipsos Reid, revealed that 71% of small businesses indicate that enhanced data security is a priority.

Protecting your data doesn't have to be an overwhelming or cost prohibitive task. Listed below are 10 easy steps to help any business get started on the right path to business protection.

10 Steps to a More Secure Business:

1. Protect laptops and sensitive business information
Lock your laptop to your desk using a metal laptop cable. Guard laptops, CDs, cell phones and papers at all times and shred discarded items containing confidential information.
2. Keep your password secret
Never share your password - no matter who asks, or why they say they need it.
3. Keep your password strong
Use eight or more characters, mix upper and lower-case letters with numbers and special characters and don't use personal information such as your name or the name of your pet.
4. Be vigilant against viruses
Be sure anti-virus software is installed and running on your computer and that it is updated regularly. Don't open unsolicited e-mails or other non-business related files from the Internet.
5. Protect information at your workspace
When leaving your office at the end of the day, be sure to clear your desk of confidential papers and remember to shut down your PC. When stepping away from your desk, even for a few minutes, remember to lock your computer with a password-protected screen saver.
6. Use e-mail responsibly and securely
Use appropriate content, be sure your e-mail is addressed to the right person and encrypt confidential information before e-mailing it to someone outside your company.
7. Use the Internet responsibly and securely
Don't post company information or company-related comments on message boards, in chat rooms or anywhere else on the Internet. Be wary of inappropriate Internet sites.
8. Information Security when working from home
Don't allow your friends and family to use your business PC. Your client information is the life blood of your business so guard it at home as you would at the office.
9. Look out for phone fraud
Do not follow dialing instructions from an unknown person and be on alert if an unknown caller requests confidential business information. Guard your cell phone and make sure to review your monthly phone bills for accuracy.
10. Back to basics to prevent theft
If a door is meant to be locked, keep it locked and don't allow an unknown person to follow you into the office. Lock your laptop and personal valuables and always take your keys with you.
